Receptionist and Defence Assistant
As receptionist
- Receive and answer incoming calls.
- Serve clients at the front desk.
- Distribute passport and consular forms to clients as required.
- Assist with the procurement of goods on behalf of the embassy in accordance with policy.
As the alternate Cashier
- Receive money from clients including staff and receipt in accordance with policy:
- Receiving, keeping in safe custody and accounting for all public money and accountable documents.
- Imediately on receipt, endorse all cheques, postal notes.
- Issue official receipt immediately public money is received.
- Ensure that money received agrees with the total of the receipts issued since the last deposit of money to the bank.
- Pay collections to the bank at least once a week or if the total exceeds $4,000 including physically taking the money to the bank.
- Prepare handover statements to your nominated back-up when required
- Act as cheque signing officer
- Act as the back-up Travel clerk
- Perform other administrative functions as requested
As Defence Assistant
- Point of Contact (POC) for Staff Officer Defence Cooperation (SODC);
- Brief Lao Ministry of National Defence (MND) students on the process required to study in Australia (including visa applications, medical requirements, family arrangements and introductory information such as joining instructions, course information etc);
- Arrange appropriate documentation for the Australian Government Department of Immigration and Citizenship (DIAC) to enable visas to be granted to students attending Defence Cooperation (DC) courses in Australia;
- Arrange with Australian embassy for medical appointments (as per Australian visa requirements);
- Draft basic Third Person Notes (TPNs) and/or arrange delivery of TPNs drafted by the Defence to the MND;
- POC for Laos students attending DC courses in Australia;
- Book plane tickets and make other travel arrangements for students attending DC course in Australia and advise SODC of flight details;
- Help arrange visits to Lao by Australian Defence officials and mobile training teams; and
- Provide translation services as required.
